Data We Collect

We collect: account information (email, company name), uploaded documents, usage metrics, and payment information via our payment providers.

How We Process Data

Documents are processed on ISO 27001 certified infrastructure in Germany. Files are encrypted at rest and in transit. We never access your document contents except for automated conversion processing.

Data Retention

We keep your documents for as long as your workspace is active. If you request the deletion of your workspace, a 29-day cooling-off period applies; after that, we close access. Closing access does not end any retention period: your documents continue to be kept after that as well. At present, we are postponing their destruction, because we are establishing the statutory retention period for each type of document.

Analytics

This website uses Umami to see which pages are read, which buttons are clicked and where visitors arrive from, so that we can improve the site. We host Umami ourselves, on the same European server as the rest of SealDoc, so no third party receives your visit. It sets no cookies. The application at app.sealdoc.eu is measured in the same way. You can switch it off with a tracker blocker; nothing here depends on it. Nothing we handle leaves Europe: hosting, storage, database, backups, outgoing mail, and the analytics as well.

The SealDoc app

The app for iPhone and Android connects only to SealDoc's servers: api.sealdoc.eu for your data and auth.sealdoc.eu to sign in. You sign in on SealDoc's sign-in page in your device's browser; your password does not reach the app. The app only asks for access to what you use yourself: the camera to scan documents and to take photos for an invoice, your photo library to choose a logo or to upload a photo as a document, and Face ID or your fingerprint to unlock the app. Your device handles that unlocking itself; SealDoc receives no biometric data. The app crops a scan on your device and sends it as a PDF. The app uploads a photo from your library as your device's photo picker supplies it; it first converts a HEIC photo to JPEG. The app scales down a logo where necessary before it is sent. The app contains no advertising, analytics, third-party crash reporting or push notifications, and sends no advertising ID, device ID or usage statistics. Your session is kept in your device's secure storage. When you sign out, the app erases that session from your device and asks the server to revoke it. Files you open in the app, such as an invoice or a scan, remain in the app's temporary storage until your device clears it or you remove the app.
